Grace Fellowship Facility Use Agreement
This Facility Use Agreement (“Agreement”) is entered into between Grace Fellowship Church
(“Owner”) and the Client identified in the approved proposal (“Client”). Acceptance of the
proposal constitutes agreement to all terms herein.
A. Use of Facilities
Grace Fellowship agrees to permit Client to use the facility spaces identified in the approved
proposal, subject to compliance with this Agreement and all posted facility rules.
Grace Fellowship reserves the right to reschedule or cancel events due to weather, emergencies,
or circumstances beyond its control. If cancellation occurs and rescheduling is not possible,
rental fees and deposits will be refunded.
B. Facility Rules and Conduct
a. Furniture must be returned to its original configuration.
b. Client must maintain cleanliness and report spills immediately.
c. No decorations may be taped, nailed, or adhered to walls or ceilings.
d. No rice, confetti, glitter, shaving cream, or similar materials permitted.
e. Only enclosed candles allowed and only when approved.
f. Early access for setup requires approval.
g. Electronics, AV, and cabling may not be moved or altered.
h. No alcohol, tobacco, firearms, or illegal substances permitted.
i. Doors may not be propped open except for active loading.
j. Set up for the event is the client’s responsibility.
k. All previously requested and approved resources will be ready and available for you by an on site Facility Coordinator.
l. All local, state, and federal laws must be followed.
Failure to comply may result in immediate termination of the event without refund.
C. Rental Time and Overtime
Setup and teardown must occur within the contracted rental window. Any presence outside the
scheduled time will be billed as overtime in full-hour increments.
D. Fees, Deposits, and Payments
Rental rates and security deposit amounts are stated in the proposal. Deposits may be applied
toward damages, cleanup, overtime, or rule violations.
Failure to remit payment by required deadlines may result in cancellation and forfeiture of
deposits.
E. Cancellation Policy
30+ days: 90% refund
14–29 days: 50% refund
Less than 14 days: 25% refund
Rescheduling is subject to availability and Owner approval.
F. Damages and Liability
Client assumes full responsibility for damages caused by Client, attendees, or vendors. Costs
exceeding the security deposit will be billed to the client.
G. Insurance
Corporate Organizational events must provide proof of general liability insurance naming
Propel Church Consulting LLC and Grace Fellowship as additionally insured.
H. Indemnification
Client agrees to indemnify and hold harmless Propel Church Consulting LLC and Grace
Fellowship from claims arising from the event, except in cases of gross negligence.
I. Post-Event Cleanup & Removal
All items must be removed immediately after the event. Items left behind are deemed
abandoned. Failure to meet cleanup standards will result in fees or forfeiture of deposit.

J. Governing Law
This Agreement is governed by Ohio law. Venue for disputes shall be Fairfield County, Ohio.
Parties agree to mediation prior to litigation.
K. Force Majeure
Propel Church Consulting LLC shall not be liable for failure or delay in performance under this
Agreement when such failure or delay is caused by circumstances beyond its reasonable control.
These circumstances include, but are not limited to: acts of God, severe weather, fire, flood,
power outages, utility failures, pandemics, public health emergencies, government orders or
restrictions, labor disputes, acts of terrorism, civil unrest, or any other emergency or unsafe
condition that, in Propel Church Consulting LLC’s judgment, makes use of the facility
impractical, unsafe, or impossible.
In the event of a force majeure occurrence, Grace Fellowship Church may cancel or
reschedule the event at its discretion. If the event cannot be rescheduled, Client will receive a
refund of rental fees and security deposits paid, less any non-recoverable costs already incurred.
Grace Fellowship Church shall not be responsible for any additional costs, losses, or
damages incurred by the Client as a result of such cancellation or disruption.
